More bookings, fewer headaches.

Hall Desk answers every inquiry about renting your hall within minutes, day or night, from your own rules and rate card. Then it emails you to approve, decline or ask.

More bookings

The hall that answers first gets the booking.

People who want to rent a hall often write to several at once, in the evening or at the weekend, and the one that answers first with a clear price often gets the date. Hall Desk answers within minutes, at any hour, with the open dates and an exact quote from your rate card, and it holds the date while you decide.

Fewer headaches

It catches what a busy office misses.

A date that's already taken. It checks your calendar and its own holds before it quotes, so it never offers a Saturday that's already taken or held.
An event your rules bar, or one that needs a vote. It applies your policy as written, and flags anything your policy says a person must decide.
An insurance certificate that won't do. It checks that the certificate names your hall, covers the date and carries liquor cover when there's alcohol, and asks the renter for a corrected one when it doesn't.

Less busywork

You make the call. Hall Desk does the typing.

  1. An inquiry comes in, at any hour.Hall Desk reads it: the date, the rooms, how many guests, whether there will be alcohol or music.
  2. It replies within minutes, and holds the date.Availability and an exact quote from your rate card. If your policy doesn't answer a question, like parking, it tells the renter the office will follow up. It never makes up a price. You choose whether it sends that first reply on its own or waits for you.
  3. You get one short email: Approve, Decline or Ask.It says who, when, how much, and what to look at first.
  4. It prepares the agreement and the invoice, and checks the renter's insurance certificate.
  5. It keeps everyone else in the loop.Your custodian gets a setup sheet, the renter gets a receipt, and your treasurer gets income by room each month.

The system behind Hall Desk has already handled more than 6,800 messages and more than 300 decisions.

Questions

Do we need new software in the office?

No. Renters write to an email address Hall Desk reads. You get one email per booking to approve.

What about our calendar?

Hall Desk works from a Google calendar. If you keep yours another way, tell us how.

Our post runs its own bar. Does that work?

Yes. Hall Desk follows your bar rules, not a church's, and checks certificates for the cover your policy asks for. Your free samples will show it on your own rules.

What if a renter asks something unusual?

If your policy doesn't answer it, Hall Desk tells the renter the office will follow up, and puts the question on your approval email. It doesn't guess.

What happens to renters' details?

An AI service reads renters' emails and certificates to run your bookings. We keep them only for that, and delete them when you ask.

Who is behind Hall Desk?

Tentator, the name a founder in Massachusetts uses to build and test new tools. It is not incorporated; Hall Desk is its first tool. At your hall, a person you choose approves every booking.

See it answer your own hall's inquiries.

Send us your rental page or policy. Within two business days we'll send back three sample inquiries answered by Hall Desk under your rules and rates, with the approval email you would see. Free. Or just write "yes" and we'll work from the rental page on your website.

Or write to Morgan Ellis at morgan@tentator.com.
